Performs diverse advanced secretarial and administrative functions for the CEO. Applies knowledge of business and applications to research topics, investigate problems or questions and provide necessary information and/or achieve resolution. Functions as a key point contact and customer service for the CEO and is accountable for achieving satisfactory and positive outcomes with key contacts. Facilitates meeting logistics, agendas and minutes for Governing Board and associated subcommittees. Composes memorandums, reports and complex documents that require a high degree of knowledge of hospital policies, organization, personnel and services. Uses discretionary initiative and judgement in handling sensitive and confidential details. Delegates work to support staff as appropriate. Demonstrates superior interpersonal and administrative skills commensurate with position.
Essential Job Outcomes & Functions:
Acts as a key point of contact for the CEO in assigned business related to LBM Administration. Interfaces with other key individuals to investigate problems/issues, gather pertinent information and solve problems directly or recommend course of action for resolution.
Ensures communication, collaboration and team work. Independently identifies and resolves complex problems and issues with minimal guidance including but not limited to patient concerns/complaints, community/local government leadership and physicians/medical staff.
Composes, organizes and articulates communication on behalf of the CEO for clarity, impact and persuasiveness.
Coordinates or oversees the detailed planning and logistics of key business meetings including the Governing Board, Nominating Committee, Strategic Executive Committee, Operations Council, etc.
Accurately prepares correspondence and reports utilizing the computer, transcribes from dictation and composes non-routine correspondence using own initiative.
Communicates effectively in verbal and written form including the ability to provide A/V for presentations.
Schedules appointments and coordinates the meeting calendar for the CEO and other senior executives.
Delegates work to other support staff as appropriate.
Requires 5 to 10 years working for a senior level executive in a major department, in addition to office management experience preferred.
High energy levels and tolerance of tight deadlines, time pressures and ambiguity. In-depth, broad, contemporary knowledge of multiple areas of software applications used in business (Microsoft Office, Excel, Visio, Outlook, etc.) and PC operation.
Ability to type 65-70 WPM.
High School Diploma. College degree preferred.
