Under the direction of the Executive Director, Quality performs in the capacity of administrative assistant to the Quality department for functions relating to the daily operations of the department. Responsible for accurate, timely maintenance of records and data for the Quality department including but not limited to other material essential for Joint Commission and CMS. Provides assistance with general clerical support functions including meeting planning, conference calls, ordering supplies, and phone etiquette are essential for this position, that interacts with the Quality department, management, employees, nursing, medical staff, patients, families and vendors.

Essential Job Outcomes
Schedules and organizes activities such as meetings, catering, travel, conferences and department activities for all members of the department.
Prepares department schedules by maintaining calendars, creating meetings and conferences calls, coordinating audio-visual equipment and other arrangements as needed.
Types and distributes meeting agenda and materials. Distributes and takes accurate meeting minutes.
Responsible for the integrity of data management and coordination. Creates and summarizes reports in data charts, tables and graphs. Creates and maintains tracking logs.
Performs desktop publishing. Creates and develops visual presentations for all members of the department. Types and designs general correspondences, memos, presentations, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
Provides general office support including, but not limited to:
Answers telephones and routes information to callers
Sorts and distributes mail.
Establishes, develops, maintains and updates paper and electronic filing system for the department.
Maintains and checks inventory level to ensure adequate office supplies.
Maintains purchase orders, invoice and inventory of unit specific supplies and equipment records.
Assists with the Physician Peer Review process including, but not limited to, meeting preparation and follow up, typing letters, sending letters and correspondence via FedEx, and assisting with maintaining the database.
Acts as a liaison with other departments and outside agencies. Handles regulatory, confidential and non-routine information appropriately.
Works independently and within a team on special nonrecurring and ongoing projects. Manages special projects, which may include: compiling data, developing and editing presentations, disseminating information, coordinating attendance and creating handouts.
